Short equipment phrases can carry more meaning than the cataloger intends.

“Runs and drives” may indicate that the equipment moved forward and backward when observed. It may not establish the condition of the transmission, brakes, steering, hydraulics, electrical system, or emissions components.


“Operates” is even broader. A bidder may interpret it as confirmation that the machine performs its intended work, while the auction team may only mean that several controls responded during cataloging.


Descriptions are clearer when they report the observed event instead of relying only on a label. For example, the listing can state that the engine started, the machine moved under its own power, and the bucket raised and lowered when photographed. It can also identify what was not tested.

This approach does not require the auction company to diagnose machinery. It simply records the scope of the observation.


The timing of that observation matters as well. Equipment can change between intake, preview, auction close, and pickup. The listing should avoid suggesting that a prior demonstration guarantees the machine will perform identically when the buyer arrives.


Where Do Heavy Equipment Auction Disputes Usually Begin?

Many disputes begin in the gap between what the seller meant and what the buyer believed was promised.


A listing may identify a component as present without explaining whether it was tested. A photograph may show an attachment next to the machine even though it is not included. A video may show the engine running while the description fails to mention that the machine was externally powered to start.

How Can Preview and Inspection Reduce Uncertainty?

A preview gives bidders an opportunity to evaluate what the catalog cannot fully communicate.

For heavy equipment, that may include examining fluid levels, wear points, controls, tires, tracks, structural repairs, visible leaks, and overall configuration. Depending on the auction and site, bidders may also be permitted to hear the machine run or observe limited operation.


The auction company should define what the preview allows. “Inspection available” can mean anything from visual access in a secured yard to an appointment where authorized personnel demonstrate the equipment. Clear instructions help bidders arrive with realistic expectations.

Remote bidders need similar clarity. If third-party inspections are permitted, the deadline and access process should be stated. If no operational testing is available, that limitation should appear before bidding rather than becoming a surprise after the sale.

Winning the bid does not automatically mean the equipment is ready to leave the property.

Heavy equipment transactions may involve payment confirmation, buyer identity verification, invoice review, title or ownership documents where applicable, and coordination of loading. The release process must prevent equipment from leaving before the required conditions have been satisfied.


Pickup scheduling should account for more than the number of buyers. One machine may be driven onto a trailer in minutes, while another requires rigging, a detachable gooseneck trailer, disassembly, or extended loading access. Appointment capacity should reflect the work required for each lot.


Release instructions should tell buyers:

  • When payment must be completed

  • Which payment methods are accepted

  • Whether an appointment is required

  • What loading assistance, if any, will be available

  • What equipment the buyer must bring

  • When the site must be cleared


The final release should connect the paid invoice to the correct lot and buyer. That is especially important when similar machines, loose attachments, buckets, forks, or accessories are stored near one another.
